Frey Portal Privacy Policy

Frey Design Group, Inc. ("Frey," "we," "us," or "our") operates Frey Portal at freyportal.com (the "Portal"). The Portal is a private, invitation-only workspace where our clients and their property management and service partners view information about the apartment properties Frey supports.

This Privacy Policy explains what information we collect through the Portal, how we use and share it, and the choices you have. It applies only to the Portal. It does not apply to freydesigngroup.com or to property websites Frey builds for clients, which have their own policies.

1. Who this policy covers

The Portal is for business use. Frey creates accounts for people our clients authorize ("Authorized Users"). The Portal also contains business contact information about people at our clients, property management companies, and partners who may not have Portal accounts. This policy covers both groups.

2. Information we collect

Account information. Your name, work email address, organization, role, and the properties assigned to you. Your password is stored only in a protected (hashed) form, so no one at Frey can see it. The one-time sign-in codes we email you for two-factor authentication are temporary and expire after use.

Property and portfolio information. Property names and addresses, markets, internal and property management system identifiers, ownership fund, management company, website and marketing service details, service bundles, unit counts, pricing, report status, and the setup and access status of each property's analytics and search accounts (such as Google Analytics, Google Tag Manager, Google Search Console, and Google Business Profile).

Business contact information. Names and work email addresses of client, property management, and partner contacts connected to each property, such as marketing leads and billing leads.

Billing information. The billing contact's name, email address, and billing address, plus invoice details (invoice date, number, line items, amounts, balance, and payment status) retrieved from QuickBooks. We do not collect card numbers, bank account numbers, or any other payment credentials.

Activity and technical information. Sign-in times, pages viewed, reports opened, and actions taken in the Portal (such as profile updates, Pay Invoice and Set Up AutoPay clicks, and invoice downloads), along with IP address, browser and device type, and system logs that help keep the Portal secure.

Cookies. We use cookies only to keep you signed in and to protect the Portal. We do not use advertising cookies or track you across other websites.

3. How we use information

We use information to:

Provide the Portal and show each Authorized User only the properties assigned to them.
Verify your identity and secure your account, including two-factor authentication, password resets, and preventing unauthorized access.
Deliver services to our clients, including reporting, website, search, and marketing coordination.
Support billing, including displaying invoices, keeping billing contact information current in QuickBooks, and linking you to Intuit to pay.
Communicate with you about your account, security, and service updates.
Monitor, troubleshoot, and improve the Portal.
Comply with the law, enforce our End-User License Agreement, and protect the rights and safety of Frey, our clients, and Portal users.

We do not sell personal information, and we do not use it for targeted advertising.

Within the Portal. Authorized Users assigned to the same property can see that property's information, including the contact names and email addresses listed for it.

With our clients. We may share Portal information, including account activity, with the organization that authorized your account and with the client that owns or manages the properties you are assigned to, as part of the services we provide to them.

With service providers. We use trusted providers to run the Portal. They process information on our behalf and only as needed to provide their services:

Vercel, for website hosting and delivery
Supabase, for our database, account sign-in, and sign-in and password reset emails
Intuit QuickBooks, for invoicing, billing, and payment processing

For legal reasons. We may share information when required by law, legal process, or government request, or when needed to protect the rights, property, or safety of Frey, our clients, or others.

Business transfers. If Frey is involved in a merger, acquisition, or sale of all or part of its business, information may transfer as part of that transaction, subject to this policy.

With your direction. We may share information when you ask us to or agree to it.

5. Payments and QuickBooks

Frey uses Intuit QuickBooks Online for invoicing and payments. The Portal connects to Frey's own QuickBooks company to:

Read billing contact information, invoices, and payment status for your Organization.
Update the billing contact's name, email address, and billing address when you change your profile in My Account.

When you choose Pay Invoice or Set Up AutoPay, you leave the Portal and complete the transaction on Intuit's secure payment page. Intuit collects and processes your payment information under the Intuit Global Privacy Statement. Frey never receives, sees, or stores your card or bank account details.

We use QuickBooks data only to provide the Portal's billing features. We do not sell it or use it for advertising. The credentials that connect the Portal to QuickBooks are encrypted and stored only on our servers.

6. Security

We protect information with:

Encryption in transit (HTTPS) and at rest
Two-factor authentication on every account
Passwords stored only in hashed form
Access limited to each user's assigned properties
Activity logging and limited internal access

No system is completely secure. Please keep your password and email account secure, and contact us at support@freyportal.com right away if you suspect unauthorized access.

7. Data retention

We keep information for as long as needed for business, legal, accounting, and security purposes. Billing records are kept as required for tax and accounting purposes. When your access is removed, your account is deactivated, and we may retain account and activity records as described in this section. When information is no longer needed, we delete it or de-identify it.

8. Your choices and rights

Update your information. Edit your billing profile in My Account at any time.
Manage your password. Change your password at any time, or reset it from the sign-in page.
Make a request. Email support@freyportal.com to request access to, correction of, or deletion of your personal information. We will verify your identity and respond within a reasonable time. Some information is controlled by your Organization or our client, so we may need to work with them, and we may keep certain records when the law requires it. Deleting your account ends your access to the Portal.

Depending on where you live, you may have additional rights under local law. We will honor those rights as required.

9. Children

The Portal is for business use only. It is not intended for anyone under 18, and we do not knowingly collect information from children.

10. Where information is processed

Frey Portal is operated from the United States and is intended for business users in the United States. Information you provide is processed in the United States.

11. Third-party links

The Portal links to third-party services, such as Intuit's payment pages and Google tools. Their privacy practices are governed by their own policies, and we encourage you to review them.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version with a new "Last updated" date. If we make material changes, we will notify you by email or with a notice in the Portal.
